GST invoice format for repair services in India

A repair shop sells two things on one bill: the technician's labour and the spare parts fitted. This guide lists what a GST tax invoice should carry and how to lay out a repair bill so it stays correct and easy for your accountant.

What a GST tax invoice should show

If you are registered under GST, a tax invoice for a repair carries the same core details as any other tax invoice. The list below is the working checklist most shops follow. Rules and thresholds change and some details depend on your registration, so confirm the exact requirements with your accountant.

  • Your business name, address and GSTIN
  • A unique invoice number in a consecutive series, and the invoice date
  • The customer's name and address, plus their GSTIN if they are a registered business
  • A description of each item, with its HSN code for goods or SAC code for services
  • Quantity, unit, rate and the taxable value of each line, after any discount
  • The tax charged, split into CGST and SGST for a sale within the state, or IGST for a sale across states
  • The place of supply and the total invoice value
  • Your signature or digital signature

Labour and spare parts on the same bill

A typical repair bill has at least two kinds of line: the service charge and the parts used. They are usually shown as separate lines, because goods and services carry different codes (HSN for the part, SAC for the repair service) and may attract different tax rates. Keeping them apart also makes the customer's bill easier to read and your monthly return easier to prepare.

List each part with its own description and quantity rather than a single lump sum for parts. If a part was replaced under warranty and the customer is not charged, make sure it does not appear on the customer's invoice at all, and keep the warranty record on the job instead.

Keep the numbering clean

Invoice numbers should run in a consecutive series without gaps or repeats. Writing bills by hand, or in a spreadsheet shared between counters, is where duplicates and missing numbers creep in. A billing tool that numbers invoices automatically solves it, and a separate series per branch keeps each counter's sequence unbroken.

GST and non-GST customers

A walk-in customer may need a plain bill, while an office or shop will want a tax invoice with its own GSTIN printed. Decide in advance which sale gets which, and capture the customer's GSTIN once, on the customer record, so it does not have to be retyped and mistyped on each invoice.

Raise the invoice from the job, not from memory

The cleanest repair bills are raised from the job itself: the labour, the parts used and the customer details are already recorded when the repair is done, so nothing is rebuilt from memory at the counter. Service+ raises GST and non-GST invoices straight from a completed job, keeps receipts and a cash register, and produces a GST summary report your accountant can use as it is.
