Job card format for mobile repair shops

A job card is the paper, or screen, that follows a phone from the moment it is handed over until it is collected. A good one prevents arguments about condition, price and what was promised. Here is what to put on it.

The fields every job card needs

Keep the card short enough that the counter fills it in every time. These are the fields that earn their place.

  • Job number and date received
  • Customer name and mobile number
  • Device make, model and serial number
  • The problem as the customer describes it
  • The condition the device was received in
  • Estimated charge and any advance taken
  • The technician it is assigned to

Write down the condition, not just the fault

Most disputes at collection are about condition, not repair: a scratch that was or was not there, a cracked back panel, a missing cover. Note the visible condition at intake in a line or two, and where you can, take a photo of the device and attach it to the job. A dated photo ends the argument quickly.

Record the estimate and the advance

Put the estimate on the card and have the customer acknowledge it. If you take an advance, write the amount and the date. When the final bill differs from the estimate, the card shows why, and the customer cannot say they were never told.

Give the customer a copy

The customer should leave with a copy of the job sheet carrying the job number, since the number is what they quote when they call. Print a second copy at delivery so both sides have a record of what was handed back.

Keep internal notes off the printout

Staff often need to note things the customer should not see, such as a warning that a board is already damaged or a price promised on the phone. Keep those in a separate internal-notes field that never prints or goes into a customer message.

From paper to a system

Paper job cards work until volume grows. Then they get lost, the fault list cannot be searched, and no one can tell which jobs have been waiting longest. Service+ starts every repair as a job card with these fields, supports photos and PDFs on the job, prints a job sheet at intake and delivery, and shows all open jobs in a live pipeline.
